How to Choose a Managed IT Provider

Use a practical due-diligence checklist to compare MSP scope, access, security, escalation, documentation and exit arrangements.

A managed provider may hold powerful access to business accounts, devices and data. Selection should therefore cover operational fit and security governance, not just response speed or the number of tools included.

Prepare a Like-for-Like Brief

Count users, devices, locations, internet links, shared systems and cloud services. Note business hours, busy periods, compliance needs and the systems that cannot be unavailable for long.

  • Current pain points and recurring incidents.
  • Who needs support and from which locations.
  • Required onsite, remote and after-hours coverage.
  • Existing licences, providers and contract dates.
  • Data locations, backup arrangements and recovery priorities.

Ask About Control and Accountability

  • Will named accounts and multi-factor authentication be used for administration?
  • How are privileged actions logged and reviewed?
  • Who verifies backups and who performs a recovery test?
  • Where are network diagrams, asset lists and procedures stored?
  • How are subcontractors and third-party tools governed?
  • Which accounts, domains and licences remain owned by the business?

Plan the Exit Before the Start

A healthy agreement explains how credentials, documentation, licences, domains and vendor relationships are handed over. Confirm notice periods, export formats and any transition charges before signing.

Practical note: Treat vague answers about administrator access, backup ownership or offboarding as a reason to pause and request written clarification.
