Employee IT Onboarding Checklist

Prepare accounts, devices, access, security and support details before a new employee starts.

Rushed onboarding creates avoidable delays and excessive access. Starting from a repeatable checklist helps the employee become productive while keeping account ownership and permissions clear.

Before the Start Date

  • Confirm the role, manager, location and start date.
  • Approve the device, accessories and software required.
  • Create a named email and identity account.
  • Assign access through role-based groups where practical.
  • Set up multi-factor authentication and recovery details.
  • Prepare phone, Wi-Fi, printer and remote-work access only if needed.

First-Day Checks

  • Confirm the employee can sign in and change temporary credentials.
  • Explain how to recognise and report suspicious messages.
  • Show where approved business data should be stored.
  • Provide the support contact and what information to include in a request.
  • Record acceptance of relevant technology and data-handling policies.

After the First Week

Review whether access is too broad or missing, remove temporary permissions and confirm the device appears in the expected management, update and backup systems.

Practical note: Avoid copying another employee’s permissions without review. Similar job titles can still need different access.
